Job Description: Technical Planner - Maintenance & MRO Planning Position Summary

The Technical Planner is responsible for developing, coordinating, and optimizing work order tasks for both preventive and reactive maintenance activities. This role ensures work is planned efficiently, materials and resources are available, and all maintenance actions follow best practices for safety, reliability, and cost control. The Technical Planner also manages MRO inventory, vendor coordination, and spare parts readiness to support uninterrupted facility operations.

The ideal candidate has strong technical understanding of facility systems, hands-on familiarity with maintenance practices, and experience with maintenance planning, scheduling, and MRO material management.

Key Responsibilities Work Order Planning & Task Development
  • Create detailed job plans for preventive and corrective maintenance activities.

  • Define job scopes, required tools, estimated labor hours, parts lists, safety steps, and sequencing of tasks.

  • Break down technical requirements into clear, repeatable workflows for maintenance technicians.

  • Ensure work orders contain complete information to support safe and efficient execution.

  • Review open work orders for accuracy, priority, validity, and resource needs before scheduling.

Preventive Maintenance Optimization
  • Develop and refine preventive maintenance tasks, checklists, and frequencies based on OEM recommendations, historical data, and equipment performance.

  • Maintain a complete library of PM job plans aligned with standardized procedures.

  • Monitor PM compliance and collaborate with maintenance teams to reduce overdue work.

Reactive Maintenance Planning
  • Support triage of incoming corrective work orders to define proper scope, parts, labor, and tools required.

  • Prioritize reactive tasks based on criticality, safety, operational impact, and resource availability.

  • Work closely with technicians to capture lessons learned and improve future planning accuracy.

MRO & Inventory Management
  • Manage spare parts, consumables, and critical inventory within the MRO storeroom.

  • Monitor inventory levels, lead times, and reorder points to prevent stockouts.

  • Coordinate procurement of materials with purchasing teams and vendors.

  • Optimize parts cataloging, standardization, and storage practices.

  • Track warranty information, part usage history, and life-cycle data.

Vendor & Resource Coordination
  • Coordinate with contractors and service providers when external labor or specialized work is required.

  • Ensure materials, permits, tools, and equipment rentals are available before work begins.

  • Support sourcing decisions by comparing vendor quotes, lead times, and part availability.

CMMS Data Management
  • Maintain accurate data within the CMMS, including equipment records, BOMs, parts catalogs, and job plans.

  • Analyze maintenance data to identify trends, recurring issues, and optimization opportunities.

  • Ensure documentation-such as technical drawings, SOPs, manuals, and certifications-is up to date.

Safety & Compliance
  • Incorporate safety instructions, lockout/tagout steps, and hazard identification into all job plans.

  • Ensure planned work meets regulatory and company safety requirements.

  • Promote a culture of planning quality and risk mitigation.

Qualifications Education & Experience
  • Associate degree or technical training in engineering, industrial maintenance, facilities management, or related field preferred.

  • 3-5 years of experience in maintenance planning, facility operations, or a skilled trade (mechanical, electrical, HVAC, etc.).

  • Experience in MRO storeroom operations or inventory management.

  • Prior exposure to CMMS platforms (SAP, Maximo, eMaint, etc.) strongly preferred.

Technical Skills
  • Understanding of mechanical, electrical, and building systems maintenance fundamentals.

  • Ability to read technical drawings, schematics, and equipment manuals.

  • Strong CMMS skills including data management, reporting, and job plan building.

  • Knowledge of inventory control principles such as min/max, reorder points, and cycle counting.

Soft Skills
  • Strong organizational and planning abilities.

  • Excellent communication and coordination skills across teams.

  • Problem-solving mindset with attention to detail.

  • Ability to handle competing priorities in a fast-paced environment.
