DESCRIPTION
Applies professional Student Services concepts. Provides varied student services to students, faculty, and department / school / college management. Works on moderately complex issues. Receives assistance on more complex issues. The Academic Advisor provides comprehensive advising and student services for students, supporting their academic progress from entry through degree completion. The position delivers individualized and group advising in a variety of ways including but not limited to major, minor and degree requirements, course planning, academic policies, and educational pathways, while helping students navigate moderately complex academic decisions such as changes of major, double majors, transfer coursework, and graduate preparation. The advisor works closely with faculty, colleges, and campus offices to apply university policies, review student petitions, and support students experiencing academic difficulty by utilizing established strategies that promote academic success and timely degree completion. The role also contributes to student recruitment, outreach, and orientation efforts by advising prospective and new students and participating in school and campus events that support enrollment and student engagement. In addition to advising, the position plays a key role in academic records management and program administration. Responsibilities include but are not limited to conducting degree audits, evaluating transfer coursework, processing student forms and petitions, and certifying graduation eligibility while maintaining accurate academic records and advising documentation. The advisor also assists in the maintenance of advising resources, student communications, and academic planning materials. Through collaboration with faculty and staff, the position supports the coordination and implementation of undergraduate programs and initiatives-such as honors, research, and transfer support programs-while participating in campus advising councils, committees, and system testing or feedback efforts that enhance undergraduate advising services and student success. Through collaboration with faculty, staff, and campus partners, the position maintains a strong service orientation and clear communication to support diverse student populations while upholding School and University policies and contributing to a collaborative shared-services environment. QUALIFICATIONS
Knowledge of advising and counseling techniques. This includes inclusive advising practices; interpretation of academic program structures and milestones (admissions, degree requirements, academic progress, and post-graduate pathways). Ability to analyze and interpret academic records, including domestic transcripts, petitions, and degree progress documentation, to assess eligibility and status. Knowledge of University processes and procedures. Knowledge of University policies and procedures related to all aspects of student services/advising and curriculum including, but not limited to, confidentiality, course transfer requirements, the college system, the advising role in serving students, and services available to students through campus departments and agencies. Knowledge of Registrar's regulations and procedures for scheduling, registration, enrollment, and grading. Ability to collaborate effectively in a shared services environment, demonstrating a positive, solutions-oriented attitude and supporting cross-coverage, workload distribution, and cooperative problem-solving. Ability to manage large and cyclical workload peaks, particularly during enrollment, start of the quarter, or milestone periods, while maintaining quality and customer service. Understanding of University rules and regulations. including academic policies, data stewardship expectations, and compliance requirements applicable to student records, advising, and program administration. Demonstrated ability to interpret policies, set logical priorities, make decisions independently, work with minimal directions, and negotiate conflicts. Interpersonal skills. including diplomacy, discretion, service orientation, collaboration in a shared services environment, and the ability to represent the School professionally in recruitment, outreach, orientations, and information-sharing contexts. Demonstrated ability to deal with people in crisis in a professional and concerned manner and the ability to effectively listen, advise, counsel and interact with diverse personalities using tact, diplomacy, and independent and mature judgments. Multicultural competencies; ability to work with diverse populations. including domestic, international, and first-generation graduate students, and to apply culturally responsive and inclusive student support practices. Skills in service orientation, organization, active listening, and critical thinking. including managing cyclical workload peaks; processing high volumes of documentation with attention to detail and accuracy; coordinating event activities; and identifying opportunities for workflow or procedural improvement. Demonstrated ability to develop and effectively utilize resources and networks for learning, problem solving and effective liaison and referral. Ability in problem identification and reasoning. including analysis and interpretation of academic records; assessment of eligibility and compliance; application of judgment within established policies; identification of complex issues; and recognition of when escalation to faculty leadership or supervision is appropriate. Strong negotiation problem-solving, and decision-making skills with the ability to act quickly and independently and exercise sound judgment with the acumen and sensitivity to identify those decisions and activities which require higher level consultation and/or group collaboration. Ability to exercise a high degree of flexibility and innovation to seek alternative solutions to unique or complex problems and issues. Ability to multi-task; verbal and written communication skills. including advanced composition skills; the ability to synthesize information from multiple sources; translate policies and procedures into clear guidance; document advising interactions and workflows; and communicate concisely and diplomatically with students, faculty, and staff. Demonstrated ability to speak effectively before large and/or small groups of people virtually and in-person. Demonstrated ability to prepare narrative reports, memos and other correspondence using proper English grammar, spelling, and punctuation, format, and with the ability to proof own work. Knowledge of University-specific computer application programs and pertinent databases. including systems used for admissions, student records, degree progress, reporting, and web content management; and the ability to maintain, reconcile, audit, and retrieve accurate student and program data across multiple systems. Ability to understand abstract concepts and computer-based data, and to use a variety of applications and databases to organize records, maintain data integrity, and extract accurate information for routine statistical reports and tracking purposes. Demonstrated ability to gather, monitor, analyze and interpret statistical data and to communicate findings through charts, narrative, and oral presentations. Demonstrated ability to organize and analyze a variety of information, data, and objectives to make strategic recommendations and to develop programs, informational brochures and flyers, the general catalog, and create and update web content. Ability to follow through on assigned responsibilities, meet established deadlines, and communicate proactively regarding workload constraints or emerging issues. Professional language and communication skills including composition skills and the ability to adapt writing style and write concisely and persuasively. Ability to incorporate feedback, reflect on outcomes, and adjust practices to improve advising, program operations, or service delivery. Skill in synthesizing information from multiple sources-such as academic records, policies, and student communication-to support accurate advising and timely decision-making. Skill in procedural interpretation and communication, translating policies into clear, concise, and accurate guidance for faculty, staff, and students. Ability to maintain and reconcile student data across multiple systems, ensuring accuracy and compliance and accurately retrieving and compiling data from various sources to support reporting, monitoring, and program decision-making. Skill in event planning and execution, such as orientations, information sessions, workshops, and student engagement activities in-person and virtually.
