Project Coordinator - JLL

What this job involves:

As a Project Coordinator at JLL, you'll be at the heart of creating exceptional workplace experiences for our clients. This role serves as the operational engine behind space transformation projects, ensuring seamless coordination from concept through completion. You'll manage the intricate details that make complex space projects successful-from initial planning and vendor coordination to final delivery and client satisfaction. Your work directly impacts how organizations optimize their real estate, enhance employee experience, and achieve their business objectives. This is an opportunity to develop project management expertise in a dynamic, fast-paced environment where attention to detail, stakeholder collaboration, and operational excellence drive meaningful business outcomes.

What your day-to-day will look like:
  • Coordinate project initiation activities by gathering requirements, organizing kick-off meetings, conducting site visits with stakeholders, and developing comprehensive project plans with accurate timelines and deliverables.

  • Maintain project schedules and documentation by updating Gantt charts, tracking progress against milestones, and distributing regular status reports to stakeholders to ensure transparency throughout the project lifecycle.

  • Serve as the primary liaison between facilities teams, vendors, IT, and stakeholders by communicating change requests, coordinating delivery schedules, and following up on action items to keep projects on track.

  • Manage space-related requests including space changes, private room allocations, and resets by reviewing submissions, evaluating optimal space utilization, and submitting service tickets for test fits, CAD files, and space preparations.

  • Oversee new hire onboarding logistics by gathering information from administrators and managers, updating project matrices with customer and technical requirements, and ensuring seamless workspace readiness.

  • Communicate proactively with clients regarding project schedules, potential business impacts, and progress updates to maintain high satisfaction levels and manage expectations effectively.

  • Contribute to continuous improvement by documenting lessons learned post-project completion, developing standard operating procedures, and identifying best practices to enhance team efficiency and service delivery.

Required Qualifications:
  • 1-2 years of experience in a fast-paced, high-functioning environment demonstrating ability to manage multiple priorities simultaneously

  • Strong analytical and organizational skills with proven ability to develop project plans, track deliverables, and manage complex schedules

  • Proficiency in word processing, database management, email software, and project management tools (experience with Gantt charts and project tracking systems required)

  • Detail-oriented approach with exceptional organizational capabilities and demonstrated ability to multitask while maintaining accuracy

  • Excellent written and verbal communication skills with ability to effectively interact with diverse stakeholders including vendors, clients, and internal teams

  • Self-motivated professional who thrives in dynamic environments and can independently manage responsibilities while collaborating effectively with cross-functional teams

Preferred Qualifications:
  • Bachelor's degree preferably in Construction Management, Engineering, Architecture, or Business Management

  • Experience with computer-aided design (CAD) software or familiarity with architectural drawings and space planning concepts

  • Knowledge of corporate real estate operations, facilities management, or workplace services

  • Prior exposure to vendor management, procurement processes, or contract coordination

  • Familiarity with corporate workplace technologies and systems integration considerations for space projects

  • Experience with customer service or client-facing roles demonstrating ability to manage expectations and deliver exceptional experiences

  • Understanding of change management principles and communication strategies for workplace transformations

  • Proficiency with project management software platforms or collaboration tools beyond basic office applications

Location:New York, NY (On site)

Estimated compensation for this position:

59,400.00 - 72,800.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
