Assistant Facilities Manager - JLL

What this job involves:

The Assistant Facilities Manager plays a critical role in ensuring operational excellence across a distributed retail portfolio through expert systems administration and facilities coordination. You'll be responsible for managing our maintenance management system (CMMS), overseeing reporting functions, and delivering seamless facilities support that keeps our client environments running smoothly. This position serves as a vital link between our Facility Management team, maintenance technicians, third-party vendors, and clients, ensuring exceptional service delivery while maintaining system integrity and operational efficiency. By combining technical proficiency with strong relationship management, you'll contribute directly to JLL's commitment to delivering world-class facilities management solutions that minimize disruption and maximize value for our clients.

What your day-to-day will look like:

Plan, schedule, coordinate, and assign all frequency-based and work-type maintenance activities using industry and client best practices to ensure seamless operations across your assigned portfolio.

Oversee daily work order review and management, including creating, tracking, and verifying work orders while managing and clearing flags to ensure timely resolution and successful service delivery.

Manage and coordinate maintenance technicians and third-party contractors/vendors with respect to work order completion, ensuring adherence to KPI and SLA requirements while identifying service delivery improvements and cost savings opportunities.

Interface directly with vendors, facilities staff, and service providers to ensure excellent coordination and execution of work within client environments with minimal disruption, including providing vendor coaching on Corrigo.

Ensure appropriate and prompt follow-up with customers, technicians, and vendors to deliver an exceptional customer experience and maintain strong relationships.

Maintain overall integrity of the CMMS (Corrigo) by supporting the account team, overseeing proper system use and configuration to meet internal and client objectives.

Manage operations strategically to mitigate operational risk while communicating performance metrics and partnership opportunities to stakeholders in a timely manner.

Required Qualifications:

* 3-4+ years of hands-on experience with facilities management and managing CMMS/Work Order applications in a professional environment.

* Demonstrated proficiency in Corrigo or similar CMMS platforms with responsibility for system administration, configuration, and integrity maintenance.

* Superior customer service skills with a proven track record of delivering exceptional client experiences and managing stakeholder relationships.

* Proficient in MS Office suite with strong written and verbal communication skills necessary for professional correspondence and stakeholder engagement.

* Advanced Excel capabilities including the ability to create, customize, and manage administrative reports, spreadsheets, and data analysis.

Preferred Qualifications:

* Undergraduate degree in facilities management, business administration, engineering, or related field (equivalent experience will be considered).

* Demonstrated ability to multitask effectively and work independently without direct supervision in a fast-paced environment.

* Strong organizational skills with proven ability to plan and manage work under time constraints while maintaining quality standards.

* Experience working with distributed retail portfolios or multi-site facilities management operations.

* Previous experience coaching or training vendors and internal staff on system processes and best practices.

* Knowledge of facilities management KPIs, SLAs, and operational risk mitigation strategies.

* Familiarity with vendor management, contract coordination, and third-party service provider relationships.

Work Shift: 08 Hour Day - 1st Shift/Morning Shift
