DESCRIPTION

The UCSD Department of Obstetrics, Gynecology and Reproductive Sciences is composed of 78 Clinical and Research Faculty, Clinical Fellows, Residents, Project Scientists, and Postdoctoral Scholars. The department is composed of 8 divisions: Obstetrics and Gynecology, Maternal-Fetal Medicine, Gynecologic Oncology, Reproductive Endocrinology and Infertility, Hospitalist, Complex Family Planning, Urogynecologic and Reconstructive Surgery, and Minimally Invasive Gynecologic Surgery.

Independently functions as the Administrative Program Coordinator for the Department of OB/GYN and Reproductive Sciences, and Reproductive Endocrinology Fellowship Program. The Fellowship Administrator to the Reproductive Endocrinology fellowship program, is responsible for implementing and independently overseeing recruitment, ranking, scheduling, curriculum planning and development, evaluations, certifications and graduation. Acts as liaison with GME office to make sure those programs are in compliance and good standing. Responsible for all components of MedHub and manages the Accreditation Data System (ACGME). Provide expertise in Travel, Concur, Oracle, reimbursements and credentialing. The incumbent must have a high level of originality, innovation and improvisation for various unscheduled or unexpected patient and care system problems.

Provide high level administrative support to our Medical Clerkship Leaders. Analyze, organize and prioritize daily activities as well as review and evaluate all requests and communications received for our Medical Student population. Exercise independent judgment in performing a wide variety of administrative duties not limited to managing complex schedules and multiple calendars, involving multiple clinic sites, UCSD faculty members, and community physicians. Act as Administrative Officer for the OB/GYN education programs. Coordinate divisional and Business Office events as needed.

Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.

MINIMUM QUALIFICATIONS
  • Four (4) years of relevant experience or Bachelor's degree in a related field.

  • Ability to use sound judgment in responding to issues and concerns. Ability to set priorities, implement courses of action, and meet deadlines; & the ability to establish and adhere to rapidly changing deadlines and priorities.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Strong, demonstrated effective and efficient skills to communicate with all levels of Academic, administrative and staffpersonnel, as well as the School of Medicine, outside agencies, patients, students, faculty, community physicians,Medical Center and University personnel.

  • Demonstrated ability to resolve conflicts with creativity and authority while maintaining a professional relationship. Ability to control situations or events in the absence of higher authority and ability to make recommendations or decisions that affect office operations and activities.

  • Demonstrated advanced organizational and project management skills, including ability to work independently, determine appropriate priorities, and complete projects accurately, efficiently, and with a high level of attention to details, despite competing deadlines.

  • Working knowledge of computer skills with working knowledge of PC hardware and various business software packages (Excel spreadsheet, Word, Outlook).

  • Solid organizational skills and ability to multi-task with demanding timeframes.

  • Working knowledge of common organization-specific and other computer application programs.

  • Ability to use discretion and maintain confidentiality.

  • Strong ability to cope with pressure and accommodate interruptions.

  • Available to work occasional weekends or overtime when necessary.

  • Experience with credentialing and forms related to UCSD Medical Staff Office.

Pay Transparency Act

Annual Full Pay Range: $71,806 - $110,977 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $34.39 - $53.15

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
