Facilities Coordinator - JLL

What this job involves: As a Facilities Coordinator at JLL, you will support the successful delivery of facility operations, vendor coordination, and program administration for a high-profile client account. This role is ideal for a highly organized and adaptable professional who thrives in fast-paced environments and can effectively manage multiple priorities, stakeholders, and operational tasks simultaneously. You will play a key role in supporting daily facility activities, coordinating vendors and projects, maintaining reporting accuracy, and ensuring operational excellence through strong communication, problem-solving, and customer service skills. Success in this role requires attention to detail, collaboration, technical proficiency, and a proactive approach to supporting both client and team objectives.

What your day-to-day will look like:

  • Coordinate daily facility operations, administrative activities, and logistical support to ensure smooth program execution and client satisfaction.

  • Manage scheduling, activity coordination, and stakeholder communication across multiple teams, vendors, and client contacts.

  • Support vendor management processes including onboarding, compliance tracking, documentation preparation, and service coordination.

  • Prepare and maintain daily, weekly, and program-level reports for internal leadership, clients, and operational stakeholders.

  • Participate in cross-functional meetings by documenting meeting notes, tracking action items, escalating risks, and maintaining process documentation and playbooks.

  • Utilize Microsoft Office applications, particularly Excel, to support reporting, data tracking, scheduling, and operational analysis.

  • Work rotating shifts, including potential early morning and weekend hours, while adapting to changing operational priorities and deadlines.

Required Qualifications:

  • 2-4 years of experience in facilities coordination, project coordination, operations support, or a related field.

  • Advanced proficiency in Microsoft Office Suite, particularly Excel, with experience managing large data sets and reporting functions.

  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.

  • Excellent verbal and written communication skills with experience interacting with clients, vendors, and cross-functional teams.

  • Demonstrated customer service experience with the ability to manage stakeholder expectations professionally and effectively.

  • Ability to work independently with minimal supervision in a fast-paced and evolving environment.

  • Flexibility to work rotating schedules, including early morning shifts and potential weekend coverage.

Preferred Qualifications:

  • Experience using facility management systems, QR coding applications, or platforms such as Sitefotos.

  • Familiarity with vendor compliance processes and supplier onboarding procedures.

  • Experience supporting facility operations within large corporate, logistics, or industrial environments.

  • Understanding of process improvement methodologies and operational efficiency practices.

  • Strong problem-solving and conflict resolution capabilities in high-volume operational settings.

  • Ability to support project coordination activities including scheduling, documentation tracking, and meeting facilitation.

  • Demonstrated ability to build collaborative working relationships with diverse stakeholder groups.

Location: This is a 100% work-from-home position. Candidates located in the Eastern or Central time zones are strongly preferred due to business needs and scheduling requirements. This role may require shifts beginning as early as 4:00 a.m. or 5:00 a.m. Eastern Time, so candidates must be comfortable supporting early morning operations.

Work Shift: This position supports a rotating schedule with morning shift coverage. Work hours may vary based on operational needs, including occasional early morning start times and rotating weekend coverage. Flexibility with scheduling is required.

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Estimated compensation for this position:

41,000.00 - 55,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
