The American Heart Association (AHA) has an excellent opportunity for an Executive Assistant within our Western States Region. This is a home-office based position with location flexible to Western States Region (Alaska, Arizona, California, Hawaii, Idaho, Montana, Nevada, Oregon, Utah, and Washington).

Under general supervision, the Executive Assistant provides executive level administrative support to the Associate EVP and Senior Vice Presidents as assigned of the Western States. This includes advanced project and administrative management maintaining the highest level of integrity, confidentiality and diplomacy.

Responsibilities



  • Completes a broad variety of administrative tasks for senior leaders including: managing extremely active calendars of appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; researching and compiling information and materials for meetings; managing incoming requests; preparing expense reports.

  • Provides support to EVP Administration and Board Relations including managing CRM (Dynamics), internal SharePoint site, physical and digital files, distribution lists and other projects necessary to maintain efficient, effective operations.

  • Manages and supports a variety of complex and routine projects including weekly and ad-hoc development productivity reports and dashboards.

  • Working with other internal partners and directly, prepares and completes critical aspects of stewardship including follow-up and acknowledgement letters, personal correspondence and other approaches to cultivating meaningful relationships.

  • Provides logistics and administrative meeting support, capturing action items and deliverables.

  • Facilitates cross-functional coordination and outreach to ensure effective alignment of division, region and association-wide communication and strategic execution.

  • Prioritizes the success of the team through effective organization/planning and frequent, substantive discussions on work plans, strategic initiatives, skill development and performance. Serves as a resource for other members of the team

Qualifications

Minimum of three (3) years of relevant experience that includes:



  • Administrative experience with C-suite executives in comparable organizations.

  • Experience in internal and external communications, partnership development/donor stewardship and fundraising.

  • Proficiency in Microsoft Office applications.

  • Experience managing multiple priorities in a highly dynamic environment


Here are some of the preferred skills we are looking for:



  • Bachelor's degree preferred

  • Experience managing and cultivating volunteer relationships.

  • Knowledge of corporate and community networks.

  • Knowledge of AHA's mission and programs.
