DESCRIPTION

DEPARTMENT OVERVIEW

UC San Diego Division of Extended Studies serves as a catalyst for positive change by advancing global access, equity, and social and economic mobility through educational enrichment across the lifespan.

As a fully self-supporting division under UC San Diego Academic Affairs, Extended Studies operates year-round (12 months of active instruction) with a budget of $50 million annually. A team of 260 academic and staff employees and more than 1,200 instructors fulfill the mission of delivering exceptional educational experiences and services that reflect our standing as part of a top-tier globally renowned public research University.

Extended Studies operates in 200,000 square feet of managed space, including a headquarters building with classrooms, training spaces and key administrative offices adjacent to the UC San Diego campus, as well as off-campus classroom facilities in nearby University City. The division maintains a robust online learning platform, operating 24/7 with webcasting and video-conferencing capabilities, while also maintaining a strong web presence with e-commerce operating 24/7. There are over 90,000 enrollment transactions annually, supported by a robust network of representatives, agents, and students. Focused on community engagement and enrichment, the division operates two television stations, UCTV and UCSD-TV, and a variety of public lecture programs, while staying active in federal, state, local, and private research and technical assistance programs and activities.

Extended Studies is also responsible for the management and financial, operational, and programming oversight of UC San Diego Park & Market, a 66,000-square-foot, four-story, multi-purpose office building located in the East Village neighborhood of downtown San Diego. Park & Market supports and hosts a wide variety of civic, community, corporate, and campus events, meetings, conferences, and programs.

POSITION OVERVIEW

The ASCEND Program Assistant resides in the Healthcare Education Department, in the UC San Diego Division of Extended Studies (DES). This role will assist with the planning, implementation, and administration of the Advancing Substance Use Disorder Counselor Education and Development (ASCEND) Program at DES. Under the supervision of the Healthcare Education Director and direction of the ASCEND Program Manager, this role assists with the program delivery needs of the ASCEND Program. This includes using professional public educational program concepts in the completion of public education assignments, such as basic advising/communicating with students on programs, course selection options and grades, organizing and implementing special programs/activities/events, and working on continuous improvement projects that are of moderate scope and complexity. The role may also participate in the development of marketing plans and collateral and may also communicate with Instructors and other DES staff.

QUALIFICATIONS
  • Strong demonstrated experience in customer service in a university or college. Experience resolving issues including, but not limited to, complex requests, disgruntled students/instructors, and exceptions to policies.

  • Experience in implementing, coordinating and administering new programs and courses in a continuing education environment, preferably in Healthcare systems.

  • Excellent communication skills, both verbal and writing /editing skills for memos, routine correspondence, and business agreements. Excellent knowledge of English grammar, spelling, and punctuation. Strong interpersonal and presentation skills.

  • Experience working within a team framework. Experience participating and presenting in group discussions/meetings regarding systems, procedures, policies and goals of the department.

  • Demonstrated experience working effectively without close supervision in a fast-paced environment with frequent interruptions, changing priorities and deadlines, while performing tasks accurately and quickly.

  • Excellent organization abilities and project management skills to independently manage complex tasks, with competing demands for time and resources. Ability to prioritize and schedule work effectively within set guidelines to meet established deadlines.

  • Basic skills using business software systems in the completion of work assignments; i.e., Word, Excel, Access, PowerPoint. Demonstrated experience with database software.

  • Demonstrated experience providing customer service to students in an academic setting. Strong demonstrated experience in customer service in a university or college. Experience resolving issues including, but not limited to, complex requests, disgruntled students/instructors, and exceptions to policies.

  • Working knowledge of current public education programs and trends.

  • Working knowledge of conducting needs assessment.

  • Working skills to produce and deliver programs.

  • Good analytical skills to understand how business needs can be addressed through the design and delivery of training programs.

  • Good reading, verbal, written and interpersonal communication skills, and good presentation skills.

  • Working knowledge of departmental and organization policies and procedures; knowledge of educational program content and objectives.

  • Working knowledge of delivering public educational programs.

Pay Transparency Act

Annual Full Pay Range: $57,100 - $96,700 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $27.35 - $46.31

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
