Position Summary

DEFINITION:
Under the limited direction of the appropriate administrator, the Enrollment Services Specialist serves as the initial resource to students and the public relating to Admissions and Records (AR), Financial Aid (FA), Cashiering, and other matriculation components within student services. The Enrollment Services Specialist is largely a front counter, customer service position, and is critical in creating a welcoming, positive atmosphere for all students and visitors to the college.

CLASS CHARACTERISTICS
This is the third level in the enrollment services position series. This position, under limited supervision performs varied and responsible clerical, technical, and enrollment services functions requiring a broad knowledge of the functions of the organizational unit. The incumbent will perform a substantial amount of administrative detail and provide support for district cashiering and accounting functions, admissions and records operations, community education, and financial aid services.


Essential Functions and Qualifications

  1. Responds to student and interdepartmental inquiries related to enrollment and financial aid via phone, email, text, and in-person; may provide related presentations and workshops to assist in student outreach and enrollment efforts.
  2. Assists all students and staff in using the college portal, CCC Apply, or other enrollment-related forms, processes, systems, and activities, which includes dual and concurrent enrollment programs such as, but not limited to, College Now!
  3. Collects all enrollment and financial aid related forms and review for completeness and enter data into college databases/systems as needed.
  4. Schedules student appointments and directs students to appropriate services and programs as necessary.
  5. Provides assistance as needed to other enrollment services and financial aid staff.
  6. Determines eligibility for residency, military waivers, agricultural waivers, AB 540. (AR)
  7. Answer inquiries and assist students with navigating a variety of financial aid topics including: all federal, state, and institutional financial aid programs, the financial aid application process, required documents and deadlines, the disbursement process, and the status of current year awards.   8. Collects, review, approve, and award CA Promise Grant (CCPG) Fee Waivers. (FA)
  9. Processes student requests for transcripts and registration as needed, (AR)
  10. Evaluates process and post applications for degrees and print and mail diplomas. (AR)
  11. Supports annual commencement operations as required. (AR)
  12. Assists both Enrollment Services and Financial aid departments in responding to all regulatory reporting.
  13. Accepts fees and vouchers and posts payments for student and staff services; accepts, verifies, and prepares cash and voucher receipts for posting to proper general ledger as assigned by location.
  14. Accepts and posts cash receipt entries for student and staff; including third party contracts and exemptions; prepares cashiering reports and reconciles daily work; assists students with the parking permit and refund processing management systems; assures internal control of district funds and audit requirements as assigned by location.
  15. May issue student and staff photo identification, or other student passes or identification as needed. May train and oversee the work of student workers and temporary staff as needed.
  16. May support community services such as but not limited to transportation services, typing tests, and base passes.
  17. Perform other related duties as assigned.

  • Financial Aid programs, processes, regulations, timelines and tax documents
  • Regulations governing the community college registration procedures
  • The College's matriculation process, counseling, cashiering, as well as EOPS and LAP and other student support programs
  • CSU and UC general education requirements
  • Transcript evaluation methods to determine equivalencies
  • Prerequisites for courses
  • Modern office practices, procedures, and equipment
  • Record-keeping techniques
  • Correct English usage, grammar, spelling, punctuation, and vocabulary
  • District organization, operations, policies and objectives
  • Applicable sections of state Education Code and other laws
  • Interpersonal skills using tact, patience, and courtesy

Demonstrated ability to:
  • Interpret and explain rules, regulations, procedures, policies and catalogs regarding student registration, transcript evaluation, graduation, degree and transfer requirements, and financial aid.
  • Perform difficult and technical records evaluation duties.
  • Perform immediate and complex analysis of various application materials.
  • Coordinate evaluation activities with other staff members and departments
  • Operate a variety of equipment including a computer, scanner and others as assigned
  • Maintain confidential and complex records and files.
  • Make arithmetic calculations quickly and accurately.
  • Use excellent organizational skills, prioritize, and manage a workload both independently and as part of a team.
  • Maintain a high level of computer proficiency and the ability to quickly learn new programs
  • Work in a fast-paced environment and support multiple functions with fluctuating priorities
  • Train and provide work direction to others
  • Make independent judgments with limited supervision
  • Communicate effectively both orally and in writing
  • Work with a diverse student population and communicate with the Spanish-speaking community.

Working Conditions:
  • Duties are primarily performed in an office environment, at a desk or at a computer.
  • The incumbent will experience interruptions while performing normal duties during the regular workday. The incumbent will have contact, in person, by email and by phone with staff, students, and the general public.
  • May sit for extended periods of time.
  • Regularly lifts, carries, and/or moves objects weighing up to 10 pounds.
  • Travel from site to site may be required.

A sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.

Minimum Qualifications

Education And Experience:
An associate degree OR equivalent to completion of a high school diploma or GED and five years of increasingly responsible experience involving student services or related functions. One year of experience using a student information system is preferred. Bilingual in English/Spanish is also desirable (conversational).

Licenses And Other Requirements:
Incumbents in this classification may be required to possess a valid CA driver's license and use of a personal vehicle.


Additional Information

The desired start date is November 2026. This is a full-time, 37-hour, classified, 12-month position.

Work Locations: Santa Ynez Valley Center, 2975 East Hwy 246, Santa Ynez, CA 93460 and Lompoc Valley Center, One Hancock Drive, Lompoc, CA 93436

Work Schedule: Monday and Wednesday, 9:30 am. - 6:00 pm (lunch 1:30 pm - 2:30 pm), Thursday, 8:00 am - 4:30 pm (lunch 1:30 pm - 2:30 pm), Friday, 8:00 am - 4:00 pm (lunch 1:30 pm - 2:30 pm), and Tuesday (at Lompoc Valley Center), 9:30 am. - 6:00 pm (lunch 1:30 pm - 2:30 pm)
