The Office Assistant will provide backup support to the firm's receptionist, maintain conference room schedules, work closely with the Meeting/Events team for conference room/hospitality support, and coordinate with facilities vendors, including catering, office supplies, and property management.

Duties and Responsibilities:
Other duties may be assigned.

  • Maintain conference room schedules, set up conference rooms as requested and make catering arrangements as needed
  • Coordinate with facilities vendors
  • Act as backup to receptionist, routing phone calls, taking and delivering messages, and welcoming visitors to the office, and receiving deliveries
  • Assist with the preparing offices for new hires, moves, and terminations
  • Send notifications as needed to building security to notify them of expected guests
  • Maintain accurate inventory of office supplies and order new materials as needed
  • Assist with management of kitchen supplies, including inventory
  • Stock service and catering kitchens and maintain a high level of cleanliness daily
  • Respond to requests or issues related to facilities management
  • Assist with the coordination office recycling program

Qualifications: To perform the job successfully, an individual should demonstrate the following competencies:

  • Must be committed to providing outstanding internal and external customer service and demonstrate strong interpersonal skills
  • Excellent organizational skills, ability to prioritize, and comfortable working independently
  • Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
  • Strong attention to detail
  • Proficient computer skills and ability to operate general office equipment

Education and Experience:

  • High school diploma or GED required
  • Experience with conference room scheduling and event planning
  • Experience with preparation and submission of electronic expense reports a plus
  • Experience as a receptionist or backup receptionist in a professional services environment a plus
